There might be a situation where you want to edit a split billing agreement.
You can do so by logging in to the dashboard (https://dashboard.smappee.net/).
Select the board “Split billing” from the menu on the left.
Modify or add an end-date
You can leave the end date completely open, but you can also enter an end date using the pencil icon.
For example: if an employee is leaving the company, you’ll probably want to set an end date in the near future so that the agreement ends at that time. How to end a split billing agreement
A new charging Card:
If the employee receives a new charging card, you must end the current agreement and create a new one. The employee will need to confirm this new agreement. Should you have any troubles, please contact us at info@smappeeservices.com and we’ll be happy to update the existing agreement with the new RFID-token for you.
Update employee's bank account:
To update an employee's bank account, you must end the current agreement and create a new one.
The employee will need to enter their new bank account details in the new agreement.
If this change occurs within the current month and the payment for completed but not yet-invoiced charging sessions needs to be transferred to the new account, please notify us at info@smappeeservices.com
Enter a start date
You can set a start date in the future — for example, when a new employee is scheduled to join the company.
Close an agreement
If you want to end a split billing agreement, you can do so by clicking the recycle bin icon.
Please note:
- It is not possible to temporarily pause a split billing agreement with an employee.
- Once a split billing agreement has been closed, it cannot be restarted.
- If needed, you can always create a new split billing agreement with the employee.
Update the reimbursement rate
Before starting the process, it is important that you know the rates that need to be applied, depending on the region.

- Select the desired agreement by checking the box on the left side of the agreement.
- The ‘Update selection’ button will appear. Click it and choose ‘Update reimbursement rate’.

A new menu will open, allowing you to:
Adjust the reimbursement rate and update past sessions
Important:
Only sessions that haven’t been invoiced yet can be changed retroactively.
The reimbursement rate for the agreement has now been updated, and all related charging sessions have been recalculated accordingly.
Add tags to your agreements
You can add Tags to your agreements to help organize and manage them more efficiently.
This feature is especially useful when you have multiple agreements. If you only have one, adding tags isn’t necessary.
To get started:
- Select the split billing agreements that should share the same tag — for example, Flemish region.
- Once selected, a button labeled ‘Update selection’ will appear.
- Click this button to add tags to the selected agreements.
In this example, we’ll use “Flemish region”.
If the tag doesn’t already exist, you’ll have the option to create it.
After creating the tag, click ‘Update for the selection’ to apply it.
Once confirmed, you’ll see the tag displayed next to the selected split billing agreement — making it easy to identify and manage.
Filter by tags
After creating a tag, you can also filter by tags, making it easy to find the agreements linked to a specific tag.
Filter by choice
You can also filter several agreements by choice : pending agreements, active agreements, closed agreements and employee number.
Note :
Greyed-out text fields cannot be modified directly. To make changes, you’ll need to close the existing agreement and create a new one.
This is because such changes require confirmation from the employee, ensuring transparency and proper approval.
Note :
If you need to update the token number (the number linked to the charging card) — for example, because the card has been lost or misplaced — please note that this field is greyed out and cannot be changed manually.

Note :
If you cannot see all the information on your screen as shown above (such as the action buttons), please check if there is a grey bar at the bottom of your screen. You can move this bar from right to left to reveal more data.
Note :
The “employee number” field in the agreement form is flexible and does not have to correspond to an actual HR employee ID.
You could enter any identifier that’s meaningful to you.
For example, using the employee’s car license plate number could make sense if you need to track agreements related to company cars.
